One of the fundamental responsibilities you hold as leaders is engaging in performance communications with your team members. These conversations provide a valuable opportunity to offer feedback, set goals, and support their development.
Performance communication, appraisal or year review, however you call it in your organization, is a very important milestone in the relationship between a manager and their team members. It is also often a point of conflict and disappointment if not dealt with transparency and professionalism.

Prepare and Set the Stage
Before engaging in a performance evaluation, take the time to prepare. Review the team member's performance records, gather relevant data, and reflect on their strengths and areas for improvement.
Don’t underestimate this step. Starting a communication about performance without proper preparation can lead to miscommunication and can easily escalate. Ask the same from your team members. Preparation is a prerequisite for both sides.
Encourage Self-Reflection
Promote self-reflection as a valuable tool for personal growth and improvement. Encourage team members to critically assess their own performance, identify areas for development, and propose solutions.
Start off by asking questions and get the other person’s point of view regarding their accomplishments and points of improvement. By fostering self-reflection, you empower team members to take ownership of their growth and continuously strive for excellence.
Focus on Strengths and Accomplishments
Once self-reflection is done, start acknowledging the team member's strengths and accomplishments. Highlight specific instances where they excelled and made significant contributions.
Recognizing their achievements fosters motivation, confidence, and a sense of value. It also sets a positive tone for discussing areas where improvement is needed.
Active Listening and Open Communication
During the performance communication, practice active listening. Give your undivided attention and demonstrate genuine interest in the team member's perspective. Encourage them to express their thoughts, concerns, and aspirations.

Adjust your strategies as needed to maximize the effectiveness of performance evaluations and cater to the specific needs of each team member.
Ongoing Feedback and Coaching
Performance communications should not be limited to formal occasions but should be part of an ongoing feedback and coaching process. Regularly provide feedback and recognize progress made towards goals.

Follow-Up and Review

Make sure to follow that plan and don’t “forget” it due to many daily responsibilities. If you agree on a follow up plan and don’t follow through, you risk losing the trust of your team members.
